Trade Shows That Deliver Results
A trade show is an investment, and it should pay for itself. For over a decade, we’ve helped companies design their trade show presence as a sales tool – from strategy and booth design to logistics, budgeting, and team preparation on-site.
We work across Europe and the U.S. We know the regulations and costs – but we also know how people buy, talk, and build trust differently on each side of the Atlantic.
Who We Work Best With
We work best with companies that:
- are entering a new market – whether that means a European company expanding into the U.S. or an American company entering Europe – and want to avoid costly mistakes early on
- treat the booth as a sales and relationship-building tool, not just a visual presence
- need support with logistics, compliance, budgeting, and organizing their trade show participation
- want to properly prepare their booth team – who’s going, what they say, and how they handle conversations with visitors who think, buy, and build trust differently than back home
- want to separate real buyers from general foot traffic
- are exhibiting internationally for the first time and want a partner who has done this before
Why Trade Shows Drive Revenue
- Relationships that are hard to build online - a conversation at the booth builds trust faster than months of emails and video calls. When the product is complex, buyers need to see it, talk to your team, and get a feel for who they'll be working with.
- Shorter sales cycles - a buyer who sees a live demo and asks the hard questions moves faster. In some markets - especially the U.S. - deals can close during the show itself.
- Dozens of valuable conversations in a few days - reaching that many decision-makers individually would take months of outreach and travel. At a trade show, they're all in one place.
- Direct feedback you can't get any other way - at a trade show, buyers tell you what works, what's missing, and what would make them more likely to buy. That kind of feedback shapes products, offers, and sales strategy long after the event ends.
- Data that justifies the next budget - a well-planned trade show gives you real numbers: meetings, decision-makers reached, and opportunities added to the pipeline. Without that, a trade show easily becomes just another expense.
“Does this trade show actually make sense for us?” “Can we attend without taking unnecessary risks?” “What does this really look like — step by step?” That’s usually where our work begins.
How We Work - Step by Step
1.
Show Selection:
We research who exhibits, who attends, and whether your target buyers will be there.
3.
Budget & Scope:
We calculate the real cost of the full project - so you see the full budget, not just the booth price.
5.
Booth Design:
Layout, format, and equipment matched to your product, your goals, and how your team will actually work the booth.
7.
Setup:
We arrive, install, and check everything. Your team walks in ready to go.
2.
Terms & Negotiation:
we review what the organizer offers, what booth format is possible, what restrictions exist, and where the hidden costs are. We negotiate booth placement and contract terms on your behalf.
4.
Messaging:
We shape your booth message so visitors immediately understand what you do and why it's worth stopping and talking to you.
6.
Production & Logistics:
We build the booth, arrange transport, and handle customs clearance - making sure everything arrives on time and without surprises.
8.
Wrap-Up & Review:
We handle teardown, return logistics, and customs paperwork. Then we review what worked and what didn't - so you know how to approach the next show.

Common Booth Mistakes That Cost You Results
A booth that doesn’t clearly say what the company does – visitors take a few seconds to decide whether to stop. If they have to guess, they keep walking.
Too much text, too little conversation – a booth covered in copy looks like a poster, not a place to meet. People come to trade shows to talk, not to read.
A layout that blocks interaction – a closed counter, a table at the entrance, or a team sitting in the back of the booth – all of it sends the same message: don’t approach.
No plan for conversations – the team is at the booth but doesn’t know who to approach or what to say. Without preparation, even the best-looking booth won’t deliver results.

What About International Trade Shows?
- For over a decade, we’ve worked on the ground across Europe and the U.S. – from Munich and Amsterdam to Chicago and Las Vegas. We know the venue rules, local procedures, and how things actually work on-site.
- Hidden costs are everywhere – and they vary by market. Forced hotel services, drayage fees that can run into thousands of dollars, electrical charges buried in the fine print. We catch these before you sign anything.
- Different markets, different rules. In the U.S., booths are measured in feet, not meters. Union labor, setup regulations, and submission deadlines work differently than in Europe. We handle those details for you.
- Shipping, customs, and on-site logistics. We coordinate paperwork, local crews, shipment tracking, and delivery to the venue – so your booth arrives on time and intact.
- We review contracts before you sign. We negotiate terms that protect your budget. If something in the organizer’s offer doesn’t add up, we’ll tell you straight.
- Your booth message needs to fit the market. What works in Europe doesn’t always work in the U.S. We help adapt your messaging to the audience and local business culture.
Booth Types & Budgets
Most common booth formats we work with:
Modular Booths
Simple, fast to set up, and easy to ship. A good fit for smaller trade shows, conferences, and companies that exhibit regularly. Even a simple booth needs to look professional – visitors judge the company by what they see, so graphic design and print quality matter more than most companies expect. Budget: $2,500-$15,000
Semi-Custom Booths
Often the best balance between impact and cost. More flexible and visually distinctive than a standard modular system, while still easier to ship and reuse than a fully custom build. A strong option for demo stations, meeting areas, product displays, and presentations. Budget: $15,000-$100,000
Fully Custom Builds
Designed from scratch around your product, brand, and goals. Maximum flexibility – from space layout and visitor flow to heavy equipment displays, live presentation areas, and private meeting rooms. Built for companies that want to stand out at major trade shows or create a long-term market presence. Budget: $100,000-$500,000+
Common Booth Project Types

- Software & Technology Demos Demo stations, screens, and space for conversations around a working system.
- Product & Equipment Displays From small products to heavy machinery. If the full product can’t be brought to the show, we show its scale and function in other ways.
- Booths Built for Sales Conversations A well-planned layout and message that help attract the right visitors and make it easier for your team to start meaningful conversations.
- Private Meeting Space A dedicated area for 1:1 meetings – quieter, more comfortable, and better suited for longer business conversations.
- Integrated Projects Trade show, product presentation, client meetings, and follow-up planned and run as one project.

FAQ
Most common questions
How much does it cost to exhibit at a trade show?
It depends on the booth format, location, and scale. A modular booth typically runs $2,500-$15,000. A semi-custom setup ranges from $15,000-$100,000. A fully custom build starts at $100,000 and can go well beyond $500,000. On top of that, there are show fees, shipping, and services – we prepare a full cost breakdown so you know exactly what you’re spending before you commit to anything.
How far in advance should we start planning?
It depends on the scale. If you have a modular booth and you’re heading to a smaller regional show, a few weeks may be enough. For international trade shows, we recommend at least 3-4 months – earlier planning means lower shipping costs, better hall placement, and a calmer production process. For large custom builds, plan 6-12 months ahead. For complex projects like EXPO, even longer. The more time you have, the fewer surprises and the better the outcome relative to the budget.
What if we're not sure this trade show is right for us?
That’s where we start. We look at who exhibits, who attends, and what the data from previous editions tells us. If we don’t see a fit, we’ll tell you straight.
Can we exhibit in multiple countries in one season?
Yes – we plan show series, coordinate shipping between projects, and look for ways to reduce logistics costs across the board.
Do we need a booth design before we start?
No. We design from scratch – from your booth message and spatial layout to graphics and print. We design the booth to support sales, not just look good. We know where to place your headline so it’s visible from the aisle, how to plan conversation space, and how to present a product that’s hard to explain in a few seconds. If your product is complex or unfamiliar to the market, we help attract the right visitors – not just foot traffic.
What about organizer rules, paperwork, and technical requirements?
We help you navigate exhibitor rules, technical guidelines, and service requirements — including hidden fees that often show up later.
Are you on-site during the show?
Yes. We supervise setup, check the booth before opening, and stay available throughout the entire show. If something needs to change on-site – booth layout, equipment, a presentation, or additional furnishings – we handle it as it comes up. Our technical team is on the floor or backstage, ready to act.
Can we start with a conversation - no commitment?
Yes. We talk first and get to know your situation – no commitment, no pressure. If we think a particular show or format doesn’t make sense, we’ll say so. Sometimes we’ll even suggest what you can handle on your own before you spend the money. We believe good partnerships start with an honest conversation, not a hard sell.
